Duration of Assignment: 3 months from Monday, 6 January 2025
Location: Hanoi, Vietnam with regional travel as required

· Partners and other stakeholders from the Vietnamese and Australian government, education and private sector and civil society

Program Overview
The goal of Aus4Skills is to support Vietnam to access and use high level professional and technical knowledge, skills and competencies, to contribute to the country’s sustainable economic and inclusive development. The program also aims to deepen Vietnamese and Australian people-to-people and institutional links and therefore strengthen the partnership between the two countries.
Aus4Skills seeks to achieve the following three whole-of-program outcomes:
· Inclusive alumni use new skills and knowledge to make positive contributions to targeted are of Vietnam’s development
· Selected Vietnamese Government, private sector, civil organisations and other partners demonstrate organisational through improved policies, practices or performance standards in targeted areas
· Australia and Vietnam have stronger sustainable links and partnerships in selected agencies.
They will be underpinned by the principle that gender equality, disability and social inclusion are integrated into all Aus4Skills activities, which are organised into five main components as follows:
1. Australia Awards Scholarships
2. Alumni Engagement
3. Capacity Building for Higher Education
4. Promoting Industry Linkages in Vocational Education and Training (VET)
5. Vietnam Australia Centre, a new initiative to foster leadership and policy development
Alumni engagement supports Australian alumni to actively contribute to the development and public diplomacy objectives of Aus4Skills, in accordance with the Australian Alumni in Vietnam Strategy 2022-25. This support involves providing opportunities for alumni to connect with each other, participate in professional development and support, and contribute to links and partnerships between Australia and Vietnam. It also includes providing and managing the Australian Alumni Grants Fund (AAGF), promoting and celebrating alumni achievements, and supporting the Australian government to connect with alumni for mutual benefit.
Aus4Skills is managed by Tetra Tech International Development on behalf of Australia’s Department of Foreign Affairs and Trade (DFAT).
Position Summary
The Intern is responsible for providing administrative support for the delivery of a range of alumni engagement activities in accordance with the Australian Alumni in Vietnam Strategy 2022-25 and the Aus4Skills program objectives. Some of these alumni activities include updating the alumni databases, supporting with budgeting and financial management of alumni grants, and assisting with alumni events. The position will play a critical support role to the Alumni Engagement Manager across all elements of Aus4Skills’ alumni engagement.
Key Responsibilities
The Intern will:
Financial and Data Management
· Support financial management tasks related to alumni grants and alumni engagement activities.
· Support to maintain an up-to-date and effective alumni database system that supports and promotes registration of alumni and facilitates access to alumni information for multiple purposes, such as alumni networking and professional development.
Alumni Outreach
· Provide logistics support for the delivery of a range of high-quality alumni and public diplomacy events, including but not limited to venue and travel arrangements, invitations, reception and closing requirements.
· Handle alumni enquiries via email and phone, including the provision of online academic databases to alumni and Australia Awards alumni applications for returning to Australia within two-year exclusion periods.
· Use online platforms, such as Facebook and LinkedIn, to search and target alumni, and register them on the database.
Other
· Respond to ad hoc requests for information or support from the Australian Embassy or Consulate relating to alumni activities.
· Ensure gender equality, disability and social inclusion considerations are promoted and mainstreamed into alumni engagement activities where possible.
· Adhere to and foster compliance with DFAT’s policies regarding child protection, preventing sexual exploitation, abuse and harassment, privacy, fraud, and other cross-cutting areas.
· Undertake other duties as may be reasonably required.
Selection Criteria
Qualifications
· Equivalent to a third year student of relevant undergraduate tertiary qualifications in marketing, public relations, human resources, business or equivalent professional experience
Experience/Knowledge
· Strong experience with financial management
· Strong experience with databases updating
· Ability to use databases and customised programs designed for supporting networks of people
· Experience with supporting the planning and delivery of a variety of events, such as short courses, workshops, conferences and seminars
· Good inter-personal and oral and written communication skills in Vietnamese and English language
· Experience in an international project or development context desired
· Knowledge of Vietnam’s education and/or development and international engagement priorities, an advantage
